Frequently asked questions

What should an employee wellness policy include?
A complete wellness policy covers: purpose and scope, eligibility criteria, program components (physical, mental, financial, social), incentive structure, budget per employee, roles and responsibilities for HR and managers, confidentiality and compliance (HIPAA, ADA, GINA), measurement metrics, and a review schedule. This template includes all 11 sections with fillable fields and checkboxes.
Is a wellness policy legally required?
No federal law requires a formal written wellness policy in the US. However, if your program includes incentives or biometric screenings, HIPAA, ADA, GINA, and EEOC regulations apply. A written policy protects your organization by documenting voluntary participation, data handling, and non-discrimination commitments. Always review with legal counsel before implementing.
How often should a wellness policy be reviewed?
Annually at minimum. The template includes a version log and annual review clause. Review triggers also include: regulatory changes (HIPAA, ADA), major workforce changes (acquisitions, remote transitions), or significant shifts in participation rates or program costs.
Do we need legal review before implementing?
Yes. If your program includes biometric screenings, EAP, or incentives tied to health outcomes, HIPAA, ADA, GINA, and EEOC rules apply. The template includes a compliance checklist and confidentiality language, but it is not legal advice. Send the completed policy to your legal and HR counsel before publishing.
How do we get employees to actually read the policy?
Send a one-page plain-language summary alongside the full policy. Announce it at an all-hands, include it in new hire onboarding, and post it on your intranet. Tie it to a visible program launch rather than a quiet document drop.
